Cold calling software: what to look for before you buy

A plain-English buyer's guide to cold calling software for UK sales teams: the features that matter, the ones that don't, and the questions to ask before you sign.

Search for cold calling software and you will find everything from a £10 click-to-call plugin to a £150-a-seat sales engagement suite. They are not the same product, and buying the wrong one is an expensive way to find that out. This guide is for small and mid-sized outbound teams in the UK deciding what they actually need.

Start with the job, not the feature list

Cold calling software has one job: get a rep from a list of people to a conversation with the next right person, as fast as possible, and remember what happened. Everything else is a means to that. If a tool makes the rep click through five screens to dial, or cannot tell you who called whom yesterday, the rest of the feature list is decoration.

The features that matter

  • A real calling queue. The next lead should be one click away, in a sensible order, with no two reps ringing the same person. Ask how the tool prevents double-dialling. If the answer is "you assign lists in advance", it does not.
  • Outcomes captured on the call, not typed up afterwards. Not interested, call back, interested, wrong number: one click, logged, timestamped. Reporting is only as good as the data going in.
  • Follow-ups that surface themselves. A callback you promised for Thursday at 2pm should appear on Thursday at 2pm, not live in someone's head.
  • Dialling from the browser. If every rep needs a desk phone, a headset adapter and an IT ticket, you will not get a new starter calling on day one. Browser calling over WebRTC removes the hardware.
  • Compliance built into the dial. Do-not-call and TPS suppression, calling-hours limits and a recording announcement should be enforced by the software, not left to rep discipline.
  • Visibility for the manager. Calls, talk time, connect rate and outcomes per person, without exporting anything.

The features that sound good and often aren't

  • Predictive dialling. It makes sense for a floor of fifty reps on consumer lists. For a team of three to twenty calling businesses, it mostly produces silent calls and complaints. We cover this in auto dialler or click-to-call.
  • Fifteen-step email sequences. Useful if your motion is email-first. A calling team needs the phone to be excellent first.
  • AI everything. AI is genuinely useful for call summaries and a quick brief on the company you are about to ring. It is not a reason to pay double. Ask whether it is optional and what it costs per use.

Questions to ask every vendor

  1. 1.What is the all-in price per user per month, including calling minutes? Many tools quote the seat and bill minutes separately.
  2. 2.Do I need to migrate to your CRM, or does this work with the one I have?
  3. 3.How does it stop two reps calling the same lead at the same time?
  4. 4.Can I call from the browser with no hardware?
  5. 5.What does it do about the TPS and my own do-not-call list at the moment of dialling?
  6. 6.If I cancel, can I export every lead, call and note?

What about a CRM?

A CRM is where your relationships live. A calling tool is where your outbound day happens. They overlap, but a CRM is rarely good at the second job: it is built to hold records, not to move a rep through two hundred of them in an afternoon.
